BizBites Technologies Private Limited ("We") are committed to protecting and respecting the privacy of your employees, contractors and external individuals that are using or are stored on the Kolmè system.

This policy sets out the basis on which any personal data of your employees, contractors or external individuals we collect from you, or that you provide to us, will be processed by us. Please read the following carefully to understand our practices regarding personal data and how we will treat it. 

Information we may collect from you
We may collect and process the following data about your employees, contractors and external individuals:

Information provided by filling in forms on our site www.kolme.in. This includes information provided at the time of registering to use our site, subscribing to the Kolmè Services, posting material, use of the Services, or requesting further Services. We may also ask you for information when you report a problem with our site.

If you contact us, we may keep a record of that correspondence.

We may also ask you to complete surveys that we use for research purposes, although you do not have to respond to them.

Details of transactions you carry out through our site and of the fulfilment of your orders.

Details of your visits to our site including, but not limited to, traffic data, location data, weblogs and other communication data, whether this is required for our own billing purposes or otherwise and the resources that you access. 

IP addresses and cookies
We may collect information about computers which access our site, including where available your IP address, operating system and browser type, for system administration and to report aggregate information to our advertisers. This is statistical data about our users' browsing actions and patterns, and does not identify any individual.

For the same reason, we may obtain information about general internet usage by users by using a cookie file which is stored on the hard drive of your computer. Cookies contain information that is transferred to your computer's hard drive. They help us to improve our site and to deliver a better and more personalised service. They enable us:

To estimate our audience size and usage pattern.

To store information about user preferences, and so allow us to customise our site according to individual and company interests.

To speed up searches.

To recognise users when one returns to the site. 

Cookies can be refused by activating the setting on a browser. However, if this setting is selected certain parts of our site may be inaccessible unless the browser setting is adjusted so that it will refuse cookies, our system will issue cookies when you log on to our site.

Where we store your personal data

As a cloud based platform, your data is first stored in servers within respective geographical areas. All the personal data that we collect is encrypted. The data that we collect (including personal data) may (for emergency and backup purposes) be transferred to, and stored at, a destination outside their respective geographical area. 

The data may also be processed by staff, operating anywhere in the world, who work for us or for one of our suppliers. By submitting personal data, including personal data about employees or contractors, you agree to this transfer, storing or processing. We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy. 

For example: 
Clients from the European Economic Area ("EEA") their data will be stored primarily within the EEA. All personal data saved by the users is directly encrypted using their login authentication. Therefore only those users who have authorised access to the data via the application can see the data decrypted.

All the personal data residing in the server database is encrypted and is the form of hash (gibberish) if accessed without the application login details of the user. 

For Emergency and Backup, if required servers from outside the EEA will be used to host the site to ensure business continuity until the servers with the EEA can be restored. You agree to obtain consent from your employees, contractors and any other user of your subscription to the site, to the processing, transfer and storage of data outside of the EEA.

All information provided to us is stored on secure servers. Any payment transactions will be encrypted using SSL technology wherever possible. Where we have given you (or where you have chosen) a password which enables you to access certain parts of our site, you are responsible for keeping this password confidential. It is important to protect yourself, your company and other individuals’ interests and data hence we ask you not to share your password with anyone. This includes any passwords issued to users of your subscription to the site. 

Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect personal data by using SSL encryption technology whenever possible for transferring and protecting your data. We cannot absolutely guarantee the security of data transmitted to our site; any transmission is at your own risk. Once we have received information, we will use strict procedures and security features to try to prevent unauthorised access.

Uses made of the information
We use information held about you and your employees/users in the following ways: 

To ensure that content from our site is presented in the most effective manner. 

To carry out our obligations arising from any contracts entered into between you and us.

To allow you to participate in interactive features of the Kolmè Services, when you and users choose to do so.

To notify you about changes to the Kolmè Services.

Disclosure of your information 
We may disclose personal information to any member of our group, which means our subsidiaries, our ultimate holding company and its subsidiaries.

We may disclose personal information to third parties:
If BizBites Technologies Private Limited or substantially all of its assets are acquired by a third party, in which case personal data held by BizBites Technologies Private Limited about its customers may be one of the transferred assets.

If we are under a duty to disclose or share personal data in order to comply with any legal obligation, or in order to enforce or apply our terms of use and other agreements; or to protect the rights, property, or safety of BizBites Technologies Private Limited, our customers, or others. Access to information
As a company we would encourage user companies to give their employees reasonable access to their personal data. However the right of access to personal information will vary from country to country. It is therefore up to the customer to decide on the degree of access the employee will have and what will comply with the local legislation.

For example: In the UK the Data Protection Act gives employees the right to access most personal information held about them. The right of access can be exercised in accordance with the Act. Any access request may be subject to a fee of £10 to meet the company’s costs in providing them with details of the information that it holds about them. The company would also have to appoint a data controller and inform them of their duties.
